At Simple Dentist PLLC, we are committed to your complete satisfaction with our dental services and products. We understand that circumstances may arise where a refund is necessary, and we have established this policy to ensure fair and transparent handling of such requests.

30-Day Refund Policy

We offer a 30-day refund window for eligible services and products from the date of purchase or treatment completion.

Refund requests must be submitted within 30 calendar days. After this period, we will evaluate requests on a case-by-case basis, but refunds are not guaranteed.

Eligible for Refund

The following may be eligible for a full or partial refund:

  • Prepaid Services Not Rendered: If you have prepaid for services that have not yet been performed, you are entitled to a full refund.
  • Dental Products: Unopened, unused dental products purchased from our office may be returned for a full refund within 30 days with proof of purchase.
  • Teeth Whitening Products: Unused take-home whitening kits may be returned within 30 days for a full refund.
  • Treatment Plan Changes: If your treatment plan changes and prepaid services are no longer needed, a credit or refund will be issued.
  • Service Quality Concerns: If you are unsatisfied with a completed service, please contact us within 30 days to discuss resolution options.

Non-Refundable Services

The following services and items are generally not eligible for refund:

  • Completed Dental Procedures: Services that have been fully rendered cannot be refunded, though we will work to address any concerns about the quality of care.
  • Custom Dental Appliances: Custom-made items such as crowns, bridges, dentures, and retainers that have been fabricated specifically for you.
  • Emergency Services: Emergency dental care and same-day appointments.
  • Diagnostic Services: X-rays, examinations, and other diagnostic procedures that have been completed.
  • Used Products: Dental products that have been opened or used.

How to Request a Refund

To request a refund, please follow these steps:

  1. Contact Our Office: Call us at (917) 376-4408 or email deeptinamineni@simpledentist.co to initiate your refund request.
  2. Provide Documentation: Have your receipt, invoice, or confirmation number ready. For product returns, the original product must be returned.
  3. Explain Your Request: Briefly describe the reason for your refund request so we can better assist you.
  4. Await Processing: We will review your request within 5-7 business days and contact you regarding the status.

Refund Processing

Once your refund is approved:

  • Credit Card Payments: Refunds will be credited to the original card used for payment within 7-10 business days.
  • Cash/Check Payments: A check will be mailed to your address on file within 14 business days.
  • Insurance Payments: If insurance was involved, we will coordinate with your insurance provider. Any patient-paid portion will be refunded directly to you.
  • Account Credits: In some cases, you may opt to receive a credit on your account for future services.

Quality Guarantee

Your satisfaction is our priority. If you are not satisfied with any aspect of your care, please let us know immediately. In many cases, we can address concerns without the need for a refund by providing additional treatment adjustments or corrections at no extra charge. We believe in making things right.

Cancellation Policy

For appointment cancellations:

  • Cancellations made 24+ hours in advance: No charge
  • Cancellations made less than 24 hours in advance: A cancellation fee may apply
  • No-shows: A missed appointment fee may be charged

We understand emergencies happen. Please contact us as soon as possible if you need to cancel, and we will do our best to accommodate your situation.

Disputes

If you disagree with our refund decision, you may request a review by contacting our office manager. We will thoroughly review your case and provide a final determination within 10 business days. We are committed to resolving all disputes fairly and professionally.
